Reporting - Usage

Use when you want to generate a usage report for any/all of our customers

• Message the Development Team and as them to provide an updated Super Admin Usage Overview Report
• Open the GenLearn Customers folder

Steps

1. Find the customer you want to generate the usage report for in the GenLearn Customer Folder and open their folder
   1. Find the Usage report "Reporting: [Customer Name]" and open the spreadsheet
   2. Note the Client Name in the top left corner of the spreadsheet
2. Open the Super Admin Usage Overview Report 
   1. In the top menu, select Data > Filter 
   2. Filter the list by the "Client Name"
      
3. Compare the data provided in the Super Admin Usage Overview Report to the data in the Reporting: [Customer Name] 
   1. Update by adding any additional conversations to the Reporting: [Customer Name] spreadsheet if any
   2. Update the data in each column (Expiry, # Interactions, Cost) as per the Super Admin Usage Overview Report 
4. Review Usage
   1. Review the % in Interactions Consumed (Highlighted yellow) in the report summary up the top
   2. If the % of interactions consumed is less than 80% - take no action
   3. If the % of interactions consumed is 80-99% - Notify the client of their current percentage usage
   4. If the % of interactions consumed is 100-150% - Notify the client of their current percentage usage and that they are now past the expected usage
   5. If the % of interactions consumed is 151-199% - Notify the client of their current percentage usage and that they will be recharged at the 100% rate if they exceed 200%
   6. If the % of interactions consumed is 200%+ - Recharge the client at the 100% rate.
